RSECon25 Call for Conference Committee Members

The conference committee is made up of volunteers who give time and effort from October 2024 to September 2025. You don’t have to be an RSE or in the UK to join. You don’t need experience in organising a conference as guidance will be given at all stages. We’re looking for people who are willing to volunteer for the RSE community and be an active part of making RSECon25 the best RSECon yet.

The conference is co-led by the Logistics Chair (Lyndsey Ballantyne) and the Programme chair (Pip Grylls) and supported by the Logistics co-chair (TBD) and Programme co-chair (Heather Ratcliffe). The chairs work primarily delivering their respective area, along with the Steering Group Chair (Twin Karmakharm), Fundraising Chair (TBD), Treasurer (Godwin Yeboah & Yo Yehudi), EDIA Chair (TBD) and Events Coordinator (external) form a steering group for decision making.
Available roles
Available roles in the Logistics team:
- Logistics Co-chair – supports all responsibilities of the Logistics chair.
- Volunteer Chair – recruits and manages the volunteers at the event.
- Volunteer Team Members (x1-2) – supports the Volunteer Chair.
- Publicity Chair – responsible for publicising the event on social media.
- Website Chair – keeps the conference website up-to-date.
- Website Team Members (x1-2) – supports the Website Chair
- Hybrid Chair – oversees our live-streaming/hybrid offerings.
- Hybrid Team Members (x1-2) – supports the Hybrid Chair.
- Awards Chair – collects nominations for community awards.
- Additional volunteers will be assigned to teams headed by these chairs where additional support is needed.
Available roles in the Programme team:
- Workshop Chair – responsible for organising workshop sessions.
- Workshop Team Members (x2) – support the Workshop Chair.
- Talks Chair – organises the talks at the conference.
- Talks Team Members (x2) – Support the Talks Chair.
- RSE Worldwide Chair – organising session(s) at the conference for worldwide RSEs.
- RSE Worldwide Team Member – supports the RSE Worldwide Chair.
- Poster Session Chair – responsible for poster sessions, lightning talks, and prizes.
- Additional volunteers will be assigned to teams headed by these chairs where additional support is needed.
Additionally, for the Conference Steering Committee we’re looking for:
- EDIA Chair – to work with both teams when necessary and relevant.
- Fundraising Co-Chair – to work closely with the Fundraising Chair in building long-term relationships with funders for the conference and other activities.
Commitment, Responsibilities and Perks
The way that the committee works may vary, but normally, members attend regular meetings between January and September. Meetings are usually every 2 weeks but can become weekly at ‘high-pressure’ times, such as when the Call for Submissions closes or when Registration opens. Between meetings, there are actions that we each agree to perform and report back on at the next meeting.
You don’t necessarily need any experience to apply. Support will be given by your fellow committee members, previous committee members and the RSE Society. However, you may need permission from your manager/employer, as you will have to give up a few hours a week, on average.
There are perks, too. You get free entry into the conference (and a free t-shirt!), and we try to ensure you can attend the talks/workshops of your choice. Bursaries are also available for travel and subsistence. And you won’t just be following orders but will get to have input into how the conference is put together.

Talks and Panels Chair (2022)

“I led the Talks and Panels Team and also worked closely with the Posters and Workshops/Walkthroughs Chairs. After identifying a suitable platform for managing the review process, we drafted the calls for submissions and reviewers, and put together a robust process for assigning reviewers to submissions. During the review process, we chased reviewers to submit reviews in time to make decisions on acceptance, and after sending out decisions, we co-ordinated with speakers as to whether they would be able to attend and whether they had specific requirements for the venue, and dealt with specific issues such as whether they needed to speak remotely.”
This gives you an idea about some of the responsibilities that a Chair has, as well as the flexibility available (i.e. the ability to select the platform/technologies that are used to manage the event).
Poster/Publicity Chair (2022)

“As Poster Chair, I worked with the Conference/Programme Chairs to organise the poster events, including the submission and approval process, finding space in the building/timetable for lightning talks, poster session and the prize competition. Then as Publicity Chair, it was my job to share updates on social media and to manage the conference mailing list, including making announcements and promoting registration.
Being on the committee was a great experience, not least because it was an opportunity to bring this amazing conference to my home city. I got to see how a big conference like this is organised and run behind the scenes, and I gained experience in leadership, management and teamwork that will be invaluable in my career. I also got to meet lots of people from the wider RSE movement and raise my profile within that community.
It was quite a lot of work, but it was a fantastic experience, and I would definitely do it again.”
